About the event

Diamond Light Source, STFC (RAL) and UKAEA Culham Centre for Fusion Energy are pleased to host ITSF 2025 which will take place from Monday 22nd to Friday 26th September 2025 at Rutherford Appleton Laboratories (RAL), Oxfordshire, UK.

The ITSF is an informal practitioner led forum to exchange lessons learned and state of the art ideas, processes, procedures, and technologies in personnel, environmental, and equipment safety. The ITSF community ranges from large-scale high energy physics facilities through to spallation neutron sources, synchrotron radiation and cyclotron laboratories from across the world.

ITSF 2025 is an event targeted to safety, health, environmental and sustainability functions for major science facilities and their operating teams.

The event will include a series of oral presentations and posters.

Although on-site participation is strongly encouraged, on-line participation will also be possible.

Topics

Oral sessions are planned for the following topics:

  • Lessons learned from incidents, injuries or near misses
  • New and novel health and safety challenges offered by new science projects and facilities
  • Environmental protection and sustainability in high energy physics facilities
  • Risks related to Safety, Health or Environmental matters
  • Examples of continuous improvement in Safety, Health and Environmental matters
  • Development of Health and Safety culture and behaviour
  • Safety, Health and Environmental training
  • Emergency preparedness
  • Chemical safety management
  • Experimental safety
  • Contractor and sub-contractor safety management
  • Fire safety management

Registration

  • Access to this event is upon registration only.
  • The registration fee to access the event is £160. The fee includes access to 5 days of programme, refreshments plus daily transfers between the Harwell Campus and Oxford.
  • Attendees are required to cover the costs of their accommodation and transport to and from the event venue.
  • The registration fee does not include the conference dinner. If you wish to attend the conference dinner, this needs to be purchased along with the ticket. The conference dinner fee is £100.
  • Registration is open until Friday 30th May 2025.

Presentation Abstract Submission

Abstract Guidance

  • Title: Create a concise, descriptive title (10-15 words max) that highlights the topic or focus.
  • Introduction: Briefly state the achievement, problem or issue (2-3 sentences), explaining its relevance.
  • Objective: Clearly outline the purpose of your presentation (e.g., new method, case study, research findings).
  • Methods/Approach: Summarise your approach (e.g., research, analysis, practical application / experience) in 2-3 sentences.
  • Results/Findings: Highlight key outcomes or insights (avoid too much detail; focus on impact).
  • Conclusion: State the significance (e.g., implications, recommendations) in 1-2 sentences.
  • Word Limit: Aim for 200-300 words.
  • Keywords: Include 3-5 relevant terms (e.g., "fire safety," "risk assessment").

Institution Posters

We invite participants to bring a poster that captures an overview of their institution and its safety. These posters will be displayed throughout the conference period for others to view.  There will also be a specific time allocated for informally discussing posters and networking.

Catering

The registration fee includes refreshments during conference. Coffee, tea and biscuits will be offered twice a day.

Lunch can be purchased from R22 Restaurant (using standard debit/credit cards) which is located on RAL site. More information on restaurant and daily menu can be found here.

Conference Dinner

The conference dinner will take place at Exeter College Oxford on Wednesday 24th September. 

The evening dinner includes the following:

Travel to the event

The ITFS 2025 will take place at the Rutherford Appleton Laboratories, located at the Harwell Science and Innovation Campus in Oxfordshire, UK.

  • Travelling to Oxford from the closest airports
    • Fly to London Heathrow Airport or Gatwick Airport and trake the train or the Airline Bus to Oxford city centre.
    • Fly to Birmingham Airport and take the train or the National Express bus to Oxford city centre.
  • Travelling between Oxford and RAL: the ITSF 2025 will provide a bus transfer between Central Oxford and RAL. If you wish to make your way to/from the event separately, you can use
