Third-Party Processors

Civica: Carry out services on behalf of HR. Your personal information is safely stored electronically at Diamond and shared with Civica over a secure encrypted file transfer protocol, ensuring that access to it is limited only to those individuals who need the access, who in turn are required to maintain the confidentiality of such information. The appropriate data protection assessments have been carried out to ensure staff information remains secure and Civica’s access to personal staff data is compliant with GDPR.

Chris Matthews Creative Design:  We may outsource the design, creation and distribution of our marketing information and event related materials. Where appropriate and necessary, names and addresses of intended recipients will be shared with our provider in order to distribute marketing information / event materials to you.  Postcodes will be anonymised and used for Diamond’s reporting, and once completed, all information will be deleted by our service provider.  

Totara: Totara provides Diamond’s learning management system and we may make this available to you. Your personal information, including your name, title, job title, work email address and telephone number and your line manager’s name is shared with Totara. Your personal information is stored electronically and shared over a secure encrypted file transfer protocol in order to maintain a record of the learning and development that you have undertaken at Diamond.

Eventbrite: If you register to attend a Diamond event you will be asked to provide certain personal information in order for Diamond to deliver the event. This information will be collected via a form hosted by a third party website, Eventbrite, Inc. and processed in accordance with Eventbrite’s Privacy Policy. Where this is the case, we will always notify you.
Formsite: if you register to attend a Diamond event you will be asked to provide certain personal information in order for Diamond to deliver the event. This information will be collected via a form hosted by a third party service Formsite Vroman Systems, Inc. and processed in accordance with their Privacy Policy. Where this is the case, we will always notify you. 
Key Travel:  We may share personal information such as your name, address, date of birth, passport details with Key Travel in order to book your Diamond travel and accommodation. 

Mailchimp: We use an automated third-party marketing platform to distribute our communications emails. Should you subscribe to a Diamond mailing list, the information you submit will be hosted by a third-party service, Mailchimp and processed in accordance with their Privacy Notice. Diamond keeps all mailing lists separate, therefore you will always be subscribing to one specific mailing list and you will not receive generic emails from Diamond. You can unsubscribe from receiving emails at any time by clicking the link in the footer of an email or contacting Diamond Events. 

Meeting Mojo: Meeting Mojo is a virtual networking platform which may partner a Zoom event in order to offer attendees the ability to network via 1:1 chats, profile viewing and interactive features. Meeting Mojo will only be used where networking is an essential part of an event and you will be notified in advance. In order to participate in the networking features you will require a Meeting Mojo log in. Once you have registered to attend the event, the Diamond Events Coordinator will share your information with Meeting Mojo in order to create your account in accordance with their Privacy Policy. In advance of the event you will receive an email from Meeting Mojo providing you with the link to access the dedicated event, along with your username to log in. Your password will follow in a separate email thereafter. This platform will only be accessible to registered attendees between the specific time period of the event which will be made clear via the Diamond Event’s Coordinator. Your information and log in details will be deleted by Meeting Mojo after the event.

Microsoft:  We make use of Microsoft products at Diamond, including Microsoft cloud services.  For details on how your personal information is processed by Microsoft, see their privacy statement here.

Redrock: We provide Redrock with documents for bulk scanning which may contain personal sensitive personal information. Redrock sites are fully secured with access control and designated secure areas. Transportation from Diamond to Redrock is also via secure courier.
 
Science and Technology Facilities Council / UK Research and Innovation: Provision of IT and RAL site services and vehicle insurance services.

Survey Monkey: Following a Diamond event or when conducting research, we may ask you to provide your feedback on your interaction with Diamond via completing a survey. We will use this information to report on events and to identify areas where we may improve in the future. Such survey’s may be hosted by a third-party provider Survey Money, SVMK Inc., an online survey development software, who will process your information in accordance with their Privacy Notice. 

Zoom: We may host events, webinars, conferences etc. online. When we do this, the event may be hosted by a third-party service provider such as Zoom Video Communications, Inc. Your information will only be used in order for Diamond to deliver the event and in accordance with Zoom’s Privacy Policy. Zoom has signed up to the EU’s standard contractual clauses for the transfer of personal data to processors established in third countries under Directive 95/46/EC of the European Parliament.

Korn Ferry / Qualtrics: provide the platform and service for employee surveys carried out at Diamond to identify where we are doing well and where we aspire to improve as an employer. Your personal information, including your name, age group, gender and work email address is shared with Korn Ferry / Qualtrics. Your personal information is stored electronically on a server owned by Qualtrics with Korn Ferry providing the survey services and shared over a secure encrypted file transfer protocol. We also collect your disability, ethnicity and caring responsibilities data if you choose to provide it within the survey. This personal information is used in order to provide data cuts on the survey and with regard to email address, to invite you to complete the survey.
