Job Description

Diamond Light Source is the UK’s national synchrotron science facility. Located at Harwell Science and Innovation Campus in Oxfordshire, we enable world-leading research across a wide range of scientific disciplines and industrial applications.

We are looking for someone to support the delivery of international and national scientific and technical conferences, such as IBIC; and proactively undertake fundraising, grant writing, and content planning to facilitate and support in-house scientists and technical staff in their requirements.

Duties to include:

• Facilitate the creation of web interfaces and registration systems relating to conferences, as required;
• Maintenance of database;
• Prepare costings, monitor budgets, and report on spend for allocated conferences;
• Help develop bids and fundraising plans for international conferences and workshops;
• Coordinate the invoicing and documentation for events sponsors;
• Coordinate the production of literature related to events and conferences, badges and posters, as required;
• Facilitate the production of conference proceedings (proofreading, formatting etc.), liaising with the scientists as appropriate;
• Undertake the administration for the yearly schedule of conferences, including: risk assessments, registration and payments, catering/accommodation/transport booking, front of house support, post-event evaluation and reporting;
• Attend and minute meetings for events and conferences;
• Liaise with staff and contractors as appropriate

Qualification & Experience - Essential

  • Highly organised individual;
  • Strong attention to details;
  • Ability to manage various tasks at once;
  • Strong IT  skills – standard MS office, database Management;
  • Strong sense of initiative;
  • Experience of organising and co-ordinating events and workshops;
  • Person flexible and able to quickly adapt to new environments;
  • Person able to work as a team and build good relationships with scientists and senior management;
  • Flexible to work outside standard office hours

Qualification & Experience - Desirable

  • Understanding of science and scientific issues;
  • Experience of managing people;
  • Experience of working in a scientific environment
  • Experience of publications production and management;
  • Experience of website systems and event interfaces;
  • Degree or equivalent experience in a similar post in a science organisation
