Job Description

Diamond Light Source is the UK’s national synchrotron science facility providing X-rays approximately 30 to 35 weeks per year for UK and international user experiments. We are seeking to recruit an administrative assistant to support European funded science projects at Diamond. The post holder will provide administrative support to funded projects, resource management as well as contribute to development of workflows and general good practice.

The post provides the successful candidate with an exciting opportunity to work in a dynamic scientific environment with the opportunity to engage with scientists throughout the UK and Europe.

Duties / Responsibilities

To ensure seamless engagement with European funded initiatives at Diamond and act as the point of contact for European user inquiries and administer relevant paperwork and outreach.

Working in support of science division, user office and communications team to;

  • Provide general administrative support in processing European user proposals received by Diamond and the European access routes iNEXT & INSTRUCT;
  • Administrative point of contact for iNEXT & INSTRUCT interactions with Diamond;
  • Coordinate and administer the dissemination of user proposals to the appropriate instrument Principal scientist as part of the technical review process and subsequent management of the peer-review process in collaboration with the Diamond user office;
  • Coordinate and develop content management of instrument descriptions from documentation, webpages and marketing campaigns to engage and assist the European user base;
  • Contribute to/lead coordination and development of new outreach strategies to the European scientific user base.

Qualification & Experience - Essential

  • A-level or equivalent; 
  • Ability to interact effectively and diplomatically with staff and facility users at all levels;
  • Proven organisational skills with good attention to detail;
  • Proven ability to prioritise a busy and changing workload;
  • Good interpersonal and communication skills;
  • Willingness to help and the ability to work as part of a multi-disciplinary team;
  • Ability to work independently and use own initiative;
  • Ability to work with different groups within the organisation and outside of the organisation;
  • Proven office administrative experience;
  • Expert user of MS Office applications.

Qualification & Experience - Desirable

  • Science qualification;
  • Experience in science administration;
  • Experience in organising events and support;
  • Experience in marketing and communications;
  • Knowledge of html/web applications;
  • Flexible approach to work.
